Hiring Manager Link
The Hiring Manager Link lets recruiters share job descriptions and shortlisted candidates with hiring managers or external stakeholders for review and approval without requiring them to have a Skima AI account. Anyone with the link can open it directly in their browser.
There are two separate approval flows: one for the Job Description and one for Candidates. Candidate Approval supports sending to multiple hiring managers or stakeholders at once, so you can collect feedback from everyone involved in a hiring decision and see whether they agree or conflict.
The approval link is accessible to anyone who has the URL. The hiring manager does not need a Skima AI account to review and respond. You are suggested to be extra careful while sharing this link.
Sharing Methods
When you trigger an approval flow, a modal appears asking how you want to share the link. Both options let you select multiple recipients.
1. Generate Link without Email
This creates a separate, unique shareable link for each recipient you select, which you can copy and distribute manually through any channel such as Slack, WhatsApp, or email outside of Skima AI.
For Candidate Approval, selecting this option and clicking 'Continue' opens a configuration screen where you can set:
- Recipient (Email Addresses), where you select one or more team members or type in external email addresses. Each person gets their own private link.
- Feedback Link Expires in (default 48 hours)
- If all reviewers approve, the status applied when every reviewer approves the candidate
- If all reviewers reject, the status applied when every reviewer rejects the candidate
- If reviewers give different answers, the status applied when reviewers do not agree with each other
- Hide Candidate's AI score from the reviewer checkbox
- Hide Candidate's cons from the reviewer checkbox
Click 'Generate Link' to create the links. A confirmation screen shows each recipient's name and their individual link, which you copy and share yourself.
2. Generate Link and Send Email
This creates the same set of individual links per recipient, but Skima sends the email automatically instead of you distributing the links manually.
i) Draft Email Tab
- Enter one or more recipients in Recipient (Email Addresses). Use '+ Add CC' or '+ Add BCC' to include additional people on the email without giving them a review link.
- Set the Feedback Link Expires in duration. The default is 48 hours.
- Configure the same three outcome rules as above: If all reviewers approve, If all reviewers reject, and If reviewers give different answers, each with a Select Action dropdown.
- Optionally check Hide Candidate's AI score from the reviewer or Hide Candidate's cons from the reviewer.
- In the Approval Email Draft section, review or edit the Subject and Message Content. Use Templates to load a saved template, Insert Variable to add dynamic placeholders such as
RECIPIENT_FULL_NAME,CANDIDATES_COUNT,JOB_TITLE,FEEDBACK_LINK,FEEDBACK_LINK_EXPIRY, orRECRUITER_FULL_NAME, or click AI to generate a draft automatically. - Use Add Attachments to include any supporting files.
Click 'Generate Link and Send Email' to send. Each recipient receives their own private link by email. A confirmation shows "Email sent successfully" along with each recipient's name, email address, and their individual review link.
Each reviewer receives their own private link and reviews independently. Neither reviewer sees the other's response while reviewing.
Job Approval
Before sourcing candidates or publishing a role, recruiters can send the Job Description to a hiring manager for sign-off.
From the Jobs List
- Navigate to 'Jobs' from the left sidebar.
- Find the job you want to send for approval.
- Click the three-dots 'Actions' menu on that job row.
- Select 'Request Approval'.
- Choose Generate Link without Email or Generate Link and Send Email as described above.
What the Hiring Manager Sees
When the hiring manager opens the approval link, they see the full Job Description alongside the Requirement Details panel on the right. The panel displays the position title, number of positions, hiring manager, approver, and salary information.
The hiring manager can Edit or Download the JD, add a note in the Add Your Note field, and click either 'Approve' or 'Reject' to submit their decision. Their response is automatically reflected as the job status change configured during setup.
Candidate Approval
Once candidates have been screened and shortlisted, recruiters can share selected profiles with one or more hiring managers for review before moving them forward.
From View Candidates
- Open a job and go to the 'View Candidates' tab.
- Select the candidates you want to send for review using the checkboxes.
- Click 'Send for Approval' in the bulk action bar at the bottom of the screen.
- Choose Generate Link without Email or Generate Link and Send Email as described above, selecting all the reviewers you want to include.
You can choose to hide AI scores and cons from the reviewer if you prefer the hiring manager to evaluate candidates based on profile and experience alone without the AI generated assessment visible.
From View Kanban
The 'Send for Approval' button is also available in the View Kanban tab. Select candidates across stages using the checkboxes, then click 'Send for Approval' in the header. The same approval flow applies.
What Each Reviewer Sees
When a reviewer opens their candidate review link, they see a list of all shared candidates on the left with the candidate's AI score and a Review Pending status. Clicking on any candidate opens their full profile on the right, showing personal information, skills evidence found and not found, professional experience, AI matching score, and pros.
The reviewer can click 'Select for Interview' to approve a candidate or 'Reject' to decline, optionally adding a note before confirming. They can also click 'View JD' in the top right to review the full Job Description alongside the candidates.
How Outcomes Are Determined
A candidate's outcome is only finalized once every reviewer sent the link has responded. Until then, the candidate shows as Pending and no status change is applied.
Once all reviewers have responded:
- If every reviewer approved, the status configured under "If all reviewers approve" is applied.
- If every reviewer rejected, the status configured under "If all reviewers reject" is applied.
- If reviewers disagreed with each other, the status configured under "If reviewers give different answers" is applied, and the candidate is marked Conflict.
If no action was selected for the matching rule during setup, the candidate's outcome still shows (for example Approved), but the note "No action was taken" appears instead of a status change, since no automatic action was configured for that outcome.
Tracking Approval Requests
Every approval request, for both jobs and candidates, is tracked in the Inbox tab in the left sidebar.
Each inbox entry shows who the request was sent to, how many applications or candidates were included, and a status tag: "All reviewers responded" once everyone has submitted a decision, or "No Response since last [X] days" if reviewers have not responded yet.
Click an entry to open the Application Review Request detail view. The left panel, SENT TO (X Approvers), lists each reviewer's name and email with a 'Send Candidate for Approval' link you can click to resend their individual review link if needed.
The right panel shows every candidate included in the request with their outcome tag (Approved, Rejected, or Conflict) and current AI score. A summary at the bottom of the left panel totals Selected, Rejected, Conflict, Pending, and Total counts across all candidates in the request.
